Here’s everything schools need to know…

What documents do I need for my after-prom party?

Please watch this video from the School Representatives’ Meeting for an explanation of the forms, how to utilize them and what will happen at the APGF event on Sunday, June 2nd.

Click the document name to download each form.

  • The School Representative Contact Information Form is what you will edit to include your contact information and any instructions for the Qualifiers to return their Qualifier Participation Form signature pages. You will give this form to the Qualifiers at your after-prom party.

  • The Qualifier Contact Information Form is something the Qualifiers (or all the students who stay until the end of your party) will fill out and return to you AT THE PARTY so you know how to contact them if necessary.

  • The Qualifier Participation Form is what you will give each student who is chosen to attend the After Prom Grand Finale. You will mail ONLY the Signature Page (Page 3) for all 6 Qualifiers to the address at the bottom of this page within a week of your prom. May 17th is the last day they can be mailed, to allow time for preparation of the Qualifier Registration packets. Because this is a legal document, we need the original form and will not accept scanned or faxed copies. Qualifiers may bring their forms to the event but it makes the Registration process go much faster (and reduces stress on the APGF team) if we have them ahead of time.

  • The Post-Prom Questions Form will prepare you for the questions you will need to answer when you submit your Qualifier names online.

Yes! The following school representatives have shared their email addresses in case anyone wants to discuss their parties and share ideas:

Is there a way to get help planning my after-prom party?

Which schools are invited to participate in the After Prom Grand Finale?

Participation in the After Prom Grand Finale (APGF) is FREE for schools. All they need is to:

  • be located in the APGF catchment area, which is located to the left of the black line on the map of Virginia (click here for a map of eligibility)

  • have an adult willing to be an APGF School Representative

  • hold an after-prom party. That’s it!

What does a School Representative do?

After Prom Grand Finale School Representatives are responsible for registering their school for the After Prom Grand Finale, attending the Representative Meeting, promoting the event at their school, drawing the names of 6 Qualifiers at the end of their after-prom party, submitting those names to the APGF Coordinator, sending in the Qualifier Participation Form Signature Page and encouraging Qualifiers to attend the After Prom Grand Finale event. More on the responsibilities of a School Representative can be found in the Registration Packet below.

May I have a copy of the Registration Packet that was sent to the schools?

Paper copies are no longer available, but you can download or print the documents below. Representatives must read the packet materials before registering their school.
